Managing Projects

Use projects to organize your facility information as you evolve from new construction, to tenant improvements, system upgrades, renovations and expansions.

SiteLine projects are an easy way to organize your facility information.  In general, you'll use projects to group documents, users and warranty tickets that are specific to a particular project.  For example, a newly built facility may have a "Ground-Up" project.  Over time, you may add more projects for significant facility improvements and renovations.  

Editing Projects

 To manage the projects for your facility, click on the Projects icon in the left navigation bar.  Click the Edit action icon. 

Only Project Administrators can edit projects.

Critical Fields

  • Project Details
    • Project Name - enter a name for the project - for example "Tower - Phase 1" or "3rd Floor TI". 
    • Description - you have the option to add a more detailed description of the project
  • Warranty Project - a contractor may provide a construction warranty for their work on a project.  If you want to use SiteLine to track warranty issues, turn this on and fill in the Warranty-Specific fields
    • Warranty Manager - you can select a warranty manager from the project’s list of current active users who will get notified when new warranty tickets are created.
    • Warranty Start & End Date - enter the start date (often the day that construction is substantially complete) and SiteLine automatically sets the end date for 1 year later.  You can edit the end date if your warranty will be shorter or longer. 
      NOTE: You cannot add a new warranty ticket after the warranty end date. You can edit a project to update the start or end date at any time.  
    • Default Watchers – you can select project users who will be notified along with the Warranty Manager when a ticket is entered.
  • Documents Project - if you want to use SiteLine's Digital Plan Room to store the documents related to a project, turn this on and choose the Document Provider –
    • Document Provider - VueOps Drive is recommended and is included at no extra fee.  SiteLine will create a project folder where you can upload project documents.

Project Users

You can restrict users so that they only see the documents and warranty tickets for specific projects.  This is useful if you have different contractors working on the same facility and want to keep them separate.  It can also be used if there are multiple tenants in a facility and you want to keep them separate.  (more information on project users.
